Class changes and make-ups, without tracking everything by hand
If your academy handles class changes, cancellations or make-ups, Clasbi helps you organise timetables, credits and slot availability.

For academies with flexible timetables
Does any of this sound familiar?
The more flexibility you offer, the harder it is to track what is pending, where there is a free slot and who is entitled to a make-up.
Students change or cancel classes frequently.
Absences notified in advance can be made up.
You offer packages, credit bundles or extra classes.
Available slots depend on level, teacher or capacity.
Timetable changes arrive over WhatsApp.
Students ask how many classes they have left.
Flexible timetables, clear rules
From an absence to a make-up, without losing track
You log the absence, find a compatible slot and confirm the make-up. Everything stays updated in one place.

Step 1
Set up your make-up policy
Define the rules once: notice period, maximum pending classes, expiry and compatible groups. The system then applies the same rules every time.
Step 2
Log attendance or the cancellation
The absence is linked to the class and the student. This frees up the slot for another student.
Step 3
Class credit is updated
The system detects whether the absence generates a make-up entitlement and how long it stays valid, according to your policy.
Step 4
The make-up is tracked
The student completes the make-up and their credit is updated.
Guides and templates
Set the rules, then simplify the day-to-day
These two guides help you structure make-up classes from both angles: the policy you share with students and the daily process for your team.

Common questions about managing make-up classes
Can students and families check how many classes they have left?
Yes. Class credits are visible so they do not need to ask over WhatsApp every time. Admin, teachers and families all see the same information, reducing questions about pending or used classes.
Can I approve or reject a timetable change before confirming it?
Yes. Not every change needs to be accepted automatically. You can decide whether to approve requests manually.
How are last-minute cancellations handled?
The academy decides how much notice is needed to generate a make-up entitlement. This lets you distinguish a timely cancellation from a late absence, avoiding negotiation.
How do I know which group a student can make up in?
Finding a free slot is not enough. You also need to check level, age, format, teacher and capacity. Clasbi brings together the information needed to find compatible options without rebuilding the timetable from chats and calendars.
Do I have to stop using WhatsApp with families?
No. WhatsApp can stay the channel for personal conversations or important notices. The difference is that timetable changes, credits and make-ups are managed in Clasbi.
What happens to pending classes when the policy changes?
You can set an effective date and honour credits already agreed. The recommended approach is to communicate the new rules to your team first, then to families, making deadlines, limits and conditions clear.
