A family asks about an available place over WhatsApp. You request the student's full name, phone number, date of birth, address, level and a few more details. The replies arrive across several messages, sometimes on different days.
Then comes the work nobody sees: opening the student record and entering every detail again, field by field.
If something is missing, you return to the chat. If a date is ambiguous, you ask again. If someone interrupts you while copying the information, it is easy to leave a field incomplete or save it to the wrong record.
The enrolment has started online, but the administration is still manual.
A connected online enrolment form changes that workflow: you send a private link through WhatsApp, the student or family completes the details on their phone, and the information goes directly into Clasbi. They enter their data once. The academy stops transcribing it.
The problem is not collecting student data, but entering it again
Collecting information is part of every enrolment. The academy needs to know who the student is, how to contact the family, their level and any circumstances the team should know about.
The problem begins when those details travel through several places before reaching their destination:
- The family writes them in WhatsApp, an email or on paper.
- Someone at the academy organises the answers or asks for anything missing.
- That person copies the information into a spreadsheet or internal form.
- Later, they enter it again in the academy management software.
Every handover costs time and creates another opportunity for error. A surname can be misspelt. A phone number can lose a digit. An important note can remain buried in the chat instead of reaching the person who needs it.
This workload also grows when the academy has the least capacity: when enrolment opens, during September planning or when several new students join at once.
Digitising the first response achieves little if someone still has to copy it afterwards.
An online form does not always remove manual data entry
Moving from paper to a generic form is an improvement. Responses arrive in a consistent format, required fields reduce omissions and families can complete it from home.
But before choosing a tool, ask one question: where does the information go after the form is submitted?
If it arrives by email, in a separate spreadsheet or in a response inbox, the academy still has to move it into the real student record. The format has changed, but the transcription remains.

The important difference is not paper versus screen. It is an isolated response versus connected information.
What an online enrolment form for academies should do
A good form does not need to request every detail imaginable. It should collect what the academy needs to continue the enrolment and leave that information where the team will use it.
Before introducing one, check that it can:
- let the academy select the information it actually needs;
- make specific fields required;
- work comfortably on a mobile phone;
- avoid asking for information the academy already has;
- show the academy's identity clearly;
- explain privacy terms and collect the necessary consent;
- protect access with a private, time-limited link;
- save the information to the correct record without copying and pasting.
Requesting fewer details well usually produces better results than presenting families with an endless form. The academy can configure names, phone numbers, date of birth, address, level, category and its own additional fields for each type of centre.
If some of that information is already in the system, the form should not ask for it again.
How online enrolment works in Clasbi

1. Prepare a private link for that person
From the prospective or existing student's record, the academy creates a private form. The invitation message can be edited before sending, and the link has an expiry date.
This is not a public form that lets anyone create records without control. Each link belongs to a specific person. If the academy creates a new one, the previous link stops working.
2. Send it through WhatsApp
The message is shared through the channel where many families already speak to the academy. They do not have to find a section of the website or create an account to complete their details.
When they open the link, they see the academy's name and a mobile-friendly form. Clasbi displays the configured fields that are still empty. If the centre already knows something, the family does not have to repeat it.

The person reviews the requested information, completes the fields and accepts the applicable consent notices. Everything happens in the browser, with no app to install.
3. Review the submitted information
When the form is submitted, the completed details update the existing record in Clasbi. If the person was registered as a prospective student, they become a student. The link is consumed and cannot be used to submit another response.
The academy keeps a summary of what was submitted and when. The information is also already available in the student record, without reconstructing the enrolment from messages.
The difference is clear when you return to the record and find that the transcription work is already done.
